Remote team productivity playbook
The rituals, metrics and tools that make remote teams faster than colocated ones — a practical productivity playbook for distributed teams.
Work async by default
Remote teams lose the most time to meetings that exist only because nobody wrote the decision down. Make async the default: every meeting needs a written agenda, or it becomes a call that could have been a document. Decisions are recorded where the whole team can find them, and meetings are kept for the discussions that genuinely need a live conversation.
Measure outcomes, not hours in a chair
The metrics that matter for a distributed team are cycle time, utilization, the share of projects delivered on budget, and employee NPS. Hours online and mouse activity are inputs, not outcomes — useful for spotting overload or unclear priorities, harmful when used as a performance score.
The minimum toolset
Three tools cover most of it: a time tracker for visibility into where the hours go, an async document tool for decisions, and a chat tool for quick questions and team banter. Adding more tools rarely helps; connecting the ones you have does.
If your team uses Slack, Jira, Asana or GitHub, check the HelloTime integrations so time is captured where work already happens instead of in a separate app.
Productivity tracking that people accept
Activity data only helps if people trust it. In HelloTime, activity is summarised as a 0–100 score, screenshots are opt-in per project and per user with a visible indicator while capture is active, and every member can see their own data before a manager does. The details are in the productivity & screenshots article and our privacy notice for employees.
A weekly rhythm that works
Start the week with written priorities, review utilization and budget burn mid-week while there is still time to rebalance work, and close the week with approved timesheets. Keep the review about workload and blockers, not about individual screenshots.
